For the finishing touch, replace the wine bottle label with a personalized label of your own. You can use a catchy slogan or the names of the happy couple.
 
Mints
 
Nothing like a breath freshener after a meal. There are numerous ways to get creative with the packaging. The mints can be in a roll, a mini bag, a tin, or a small glass jar- add a tag or sticker with a catchy phrase, such as, “Mint to Be!”
 
Fans
 
Summer weddings in Ibiza can reach sweltering temperatures. Provide your guests with a nice little hand fan to keep cool and comfortable as they enjoy your wedding. If you feel these fold out hand fans might be too complicated, you can opt for paddle fans instead. The paddle fans will also give you room for creativity, and the ability to tailor them to your theme. You can add a photo of the happy couple, flowers, or decoration of choice. The hand fans are a lot easier to carry around and provide cooler air flow.

Create a mix CD of songs from your wedding and give your guests a memory to keep with them forever. This CD could be a compilation of the songs for the first dance, father and daughter dance, bouquet toss, and any other special songs of your choice.

How to do your own wedding planning for your Ibiza wedding

If you’re planning for success you have landed on the right site!
Even if you are a beginner in the wedding planning scene it is very clear from day one what you must list will vaguely look like. Here is a hint:
​

Wedding Planning To Do List:

  • Wedding venue: determine what is the best fit for me, either if it is a wedding restaurant or a wedding villa venue. Read more: Understand more about our Wedding Venue Analysis.
  • Catering for your wedding day: if you have chosen to go for a villa wedding then you will need this supplier on your list. Read here more one the advantages of having an all-inclusive catering service provided for your Ibiza wedding.
  • Wedding officiant: a wedding blesser is what the majority tend to go for when holding a non-religious wedding in Ibiza. If you’re planning a Catholic wedding, then this would require a complete different procedure. And if you are on a budget, then you might want to consider someone in your family to bless upon you!
  • Wedding Photographer and Wedding Videographer. Usually not everyone remembers the videographer at the beginning, but do not discard this on day one as there is still a long way to go.
  • Sound, lighting and DJ: If you have chosen Ibiza, you better put on a good party at the end of the day! Nothing else to add.
  • Entertainment: there is nothing like giving your Ibiza wedding that flamenco vibe. I love seeing Spanish guitars at weddings – it just makes it so much more authentic! Consider as well other forms of entertainment such as a crazy Violin performance during your DJ, soul Sax during the meal or singing mermaids during the reception! Also, add to this list kids entertainment if required.
  • Florists: be flexible with your flowers. I really do mean this. From experience, I have seen how clients tend to send florists these amazing bouquet images of flowers that not at all easily accessible in this side of the world. Think local and this will make your bouquet not only more authentic to the location but as well more cost effective. Let your florist advise you on this, not Pinterest.
  • Makeup artist and hair stylist: Thinking more of the day, you want to make this a treat for yourself and have someone professional and responsible handle your beauty.
  • Transport: any event larger than 30 people should have transport arranged with no doubt. Even if this is to a pick up / drop off point close to a taxi stand. If you know Ibiza, you will know how difficult it can be at times to get a taxi.

​Once you have these items ticked off the box you will be able to draw up a schedule of the event and slot in each component (the cake-cutting, the first dance). We recommend that you get your first suggested draft from your caterer, as they will have experience in the full wedding planning process.

Right, now that you have your ‘to do list’ – where to start:

First step: The Wedding Venue

​Finding the right wedding venue is not only about liking someone else’s wedding photographies. As I run two very different business I get to see many people making site inspections to wedding venues in Ibiza and I can tell you that, it is not the beauty that connects people, but the vibe to the location (call me hippie if you like, but trust me that this really does happen, and that is the magic of this island!). So, start by judging the book by the cover and make your Top 5 or 6 venues (if you can reduce this number then fab!). Then, check that they are all reasonably in your budget and go ahead and book your tickets to visit Ibiza. Yes! I said visit. Visiting your wedding venue is such an important step when planning your own Ibiza wedding.
Site inspections are not something that should be underestimated, and recognising that you are not a professional in the industry means that you will need to keep a few aspects to bear in mind.

Second step: Plan Your Ibiza Site Visit

​Now that you know your dates, plan your stay in Ibiza and make the most out of it. Draw up a schedule of those 2-4 days you’ll be spending on the island and maximize your wedding planning like a pro!

Tips!!

  • Note that we have allowed a 2 – 3 PM lunch break. As we like saying, if you’re in Spain, do it the Spanish way! At this time you’ll find set menus in most restaurants in and about the main urban areas such as Ibiza, San Antonio and Santa Eularia.
  • Allow 1 hour per location and an extra 30 minutes to reach your next location even if it is in the same area. It is easy to get lost specially when searching for villas in Ibiza.
  • Group your wedding villa venues per zones, these would be: Ibiza, San Jose, San Antonio, Santa Eularia and San Juan. Then, as we did above, assign a colour to each area to ensure that you are not wasting too much time on travel. 30 minutes would not be enough to go from San Jose to San Juan.
  • Ensure you have a direct contact number on your journey schedule and ring them a few minutes before you arrive for them to be expecting you (even if you already confirmed the booking).

Third step: Fill in the Gaps

Once the sun has gone, schedule a few suppliers that you have short listed and meet up with you. We recommend:
  • Short list 1-2 Wedding Celebrants / Officiators
  • Short list 1-2 Wedding Photographers
  • Short list 1 Videographer (if applied)
  • Short list 1-2 Makeup Artists & Hairdressers
There are other suppliers you could meet during this time, but we think that the above are the kicking off point before taking any further steps (if you make it so far, believe me, you are well away on the game!! Well done!!)

Fourth step: Wrap it up

Before you land back home, try and make sure that you have all your notes in place. If you drag this homework back with you, it is most probable that this will pile up with your usual work and home duties. Remember that being your part-time wedding planner implies that you will have to wear your wedding planner hat at times, and this should always be the case while visiting Ibiza before the event (unless you specifically plan for a wedding planned day off).

Once you get back home, dedicate some time and email all suppliers you have met to thank them for their time and to provide them with an estimate time line of decision making.

Ibiza is a fab destination to hold a wedding. I know that the fact of me being a wedding planner does change the lense of my glasses HOWEVER having said that I have seen quite a few Ibiza weddings and I can say that people love it here. The skies are blue, the sun is always shining, the food and drinks is to die for and staff is friendly but this doesn't make Ibiza a budget friendly destination. In fact Ibiza can be quite expensive specially when considering a Villa wedding - the catering add ons can sky rocket your expenses if you're not careful! 

CATERING TIPS

Here we have give you some wedding tips that we think you should bare in mind before putting down a down deposit with any Catering company in Ibiza:

Check that you have enough food. 

I know this can sound out of place but most couples because they are planning on not spending much on their Ibiza wedding decide to go ahead and make their own shopping list for their catering. This is a good option if you know what you're doing. Here are some suggestions:

* Downgrade your welcome drink: offer your guests a non-alcoholic refreshment upon arrival. Caterers can not charge you much for this service and it makes more sense to give guests non-alcoholic beverages before sitting under the sun to witness your wedding ceremony.

* Upgrade your canapes: I am the type of person who thinks that if you're guests have come all the way from home to Ibiza to be with your on this special day, you need to give them something to eat. You can't expect people to not be hungry at this time and if you're serving alcoholic drinks during the reception (which is the most common) then I think you must give them a bite to eat. Include in your canape list 4-6 canapés to be served during the 1.5-2 h reception. 

* Check what's on the menu - BBQ: the reason why we specialize in offering BBQ packages is because it works so well, everyone loves it and it is a no brained when it comes to the wedding planning stages. Have a good selection of meats and make sure that there is at least one vegetarian option (or vegan if you have someone in your party that is vegan). Include in this meat wish list: 1 chicken to cover the difficult ones, steak that everyone loves, and local lamb. Ensure that you've got 2-4 sides/salads and of course if this is a buffet something on the table for people to nibble while waiting for their turn. If you can also have a mixed selection of desserts then this would make it easier for the planning and it will cover for all tastes.

PHOTOGRAPHER TIPS

If you're on a budget and you're not too picky on your wedding Photographer then I would recommend that you make it a last minute booking. There are plenty of wedding photographers on the island and if you plan to send them an enquiry in Feb - March of the same year you can ask them for last minute discounts. 
​

This move is a bit risky if you're very particular on how you want your wedding pictures to look like.

DECORATION TIPS

There are lots of wonderful ways of decorating your wedding venue on a small budget. This may be with paper lanterns, pom poms, bunting, DIY projects, etc. I have even seen people set pom poms as centerpieces for the tables, cutting down on the flower budget and still giving the table that elegant and colorful touch you'd expect to see at an Ibiza wedding. 
​
If you're holing your small wedding in Ibiza at a villa then you'll have plenty of time to do this yourselves.

FLOWERS

I've had couple bring their own artificial flowers that will last them for a life time. It isn't a very Eco friendly move but it will definitely bring your overall wedding expenses down.

WEDDING CAKE

Wedding cakes for some reason are extremely overpriced in Ibiza. Why not bring your own one? I don't recommend that you bake it here, but I have seen beautiful M&S wedding cakes that travel very very well and do the job just perfectly (and on a small budget).

ENTERTAINMENT ​

If you're on a budget, then I would take this off the list, unless someone in your family is semi-professional. Prices start at 420 €/h VAT included. Just arrange some really cool background music for all the stages of your event. You know the timings so you only need to ensure that you're fully covered.

Also if anyone is good at dejaying then ask them to play for you at the wedding. One of my favorite weddings I can recall had 3 family members DJ at different times. It was so much fun! It was in fact the father of the bride that managed to get everyone off their seats to dance to the 80's hits!

DON'T DOES

As I am happy giving suggestions on how to save on an Ibiza Wedding I also want to point out where not to cut the cost in your Ibiza Wedding:

- Photographer: do not delegate this to a friend or family member. Have someone professional do the job for you. I can recall an event in which the photographer was a good friend of the bride and groom and she wasn't up for the job, she wanted to have a good time too (I completely understand that!). Have someone emotionally detached do this job. This is far more important than your live music and DJ as it will be in a portray above the chimney for the next +40 years!

- Dancefloor lighting: I have seen weddings with and without the lighting and I can't recommend strong enough to keep them in. It really sets the tone of the open bar! Cut out the Mojitos and keep the lights if necessary!

- End of event transpiration: Ibiza's public transport is not that great. Book 19 seater buses to take your guests back home at the end of the night. Expect to spend around 10 € per person and finish the night on a good tone.
